Job Description:


Classification: Full-Time, Non-Exempt
Department: Operations
Reports to:  Director of Visitor and Retail Operations


Job Summary and Key Objectives:

The Front Desk Associate is responsible for providing clerical support and customer service as the first point of contact for visitors at any of Telfair Museums’ three locations.


Key Responsibilities and Duties:

  • Provide front desk services at all three Telfair Museum sites
  • Provide excellent  and timely customer service to everyone
  • Check in guests of special events and school groups
  • Answer phone calls using the proper Telfair script; transfer calls to the appropriate staff member
  • Gather information from visitors, such as purpose of visit, and record accurate demographics
  • Enter data and ticket sales into the Altru System
  • Give visitor tabs and site passes (if applicable) to visitors; collect tabs as visitors leave the museum
  • Distribute volunteer applications on request.  Forward the completed applications to Education Dept.
  • Provide Admissions, merchandise and memberships sales and tracking through the Altru system and Retail Pro software.
  • Accept packages and ensure they are delivered to the appropriate person
  • Check phone and email messages at the beginning of each shift.
  • Support museum shop operations
  • Keep front desk work surfaces and counter tops clean, stocked and organized.
  • Clock in and out using the ADP online Time & Attendance System within allowable time frames to accurately record time according to schedule
  • Contact the console or 911 in an emergency; help direct visitors out of buildings in an emergency
  • Tear down and reset the desk area for events (Jepson Center and Telfair Academy)
  • Receive, secure and label lost and found items; contact console for electronic or expensive items
  • Complete bank deposit at the end of the day; put in bank bag.  Give to courier the following day.
  • Promote and sell Telfair Museum memberships
  • Dress in professional attire according to the Telfair Museums dress code.
  • Distribute and collect yellow Telfair parking passes
  • Handle guest complaints; refer to supervisor if necessary
  • Submit EOD reports to Shared drive
  • Count and balance cash drawer
  • Lock up cash drawer and donation box at the end of the shift.


Front Desk Associate –Additional duties

  • Complete accurate sales transactions using the POS system (Retail Pro)
  • Assist with restocking, unpacking, straightening merchandise and maintaining the appearance of the sales floor
  • Package items for shipment; complete shipping procedures
  • Assist with shop opening and closing procedures


Minimum Skills and Education

  • High School Diploma or GED; ability to read, write, speak, and understand the English language.
  • Must have advanced knowledge of Microsoft Office; ability to operate a computer and become proficient in software programs.
  • Ability to handle stressful situations and deadlines.
  • Excellent verbal and written communication skills.
  • Proven ability to multi-task and work with diverse groups of people.
  • Ability to handle problematic situations using proper judgment while maintaining guest relationships.
  • Excellent organizational skills, efficient time management and effective resource usage.
  • Proven ability to foster effective working relationships with volunteers and staff.
  • Display a friendly, professional, positive demeanor, with a pleasant and welcoming attitude and approach with customers.
  • Demonstrate accurate basic clerical, organizational and basic data entry skills.
  • Ability to make independent decisions and remain calm during emergency situations
  • Basic math skills; ability to handle money and make change accurately.
  • Ability to work evenings, weekends and some holidays when necessary; some late hours
  •  Ability to be on at work consistently on time
  • Effective interpersonal skills with the ability to work with all levels of Museum stakeholders including Board members, museum staff, donors, members, child and adult patrons, community, businesses and others.
  • Ability to make independent decisions and to remain calm during emergency situations.


Physical Requirements: (Carrying, lifting, walking, sitting, reaching, standing, etc.)

  • Works in office areas as well as throughout the facility and its premises.
  • Moves intermittently during working hours; walking, standing, stooping, sitting, climbing stairs
  • Is subject to frequent interruptions.
  • Works beyond normal working hours, weekends and holidays, and on other shifts as necessary.
  • Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.
